  2. Using the Synchronization Client
  3. ================================
  4. .. index:: navigating, usage
  5. The Nextcloud Desktop Client remains in the background and is visible as an icon
  6. in the system tray (Windows, KDE), menu bar (Mac OS X), or notification area
  7. (Linux).
  8. .. figure:: images/icon.png
  9. :alt: Status icon, green circle and white checkmark
  10. The status indicator uses icons to indicate the current status of your
  11. synchronization. The green circle with the white checkmark tells you that your
  12. synchronization is current and you are connected to your Nextcloud server.
  13. .. figure:: images/icon-syncing.png
  14. :alt: Status icon, blue circle and white semi-circles
  15. The blue icon with the white semi-circles means synchronization is in progress.
  16. .. figure:: images/icon-paused.png
  17. :alt: Status icon, yellow circle and vertical parallel
  18. lines
  19. The yellow icon with the parallel lines tells you your synchronization
  20. has been paused. (Most likely by you.)
  21. .. figure:: images/icon-offline.png
  22. :alt: Status icon, gray circle and three horizontal
  23. white dots
  24. The gray icon with three white dots means your sync client has lost its
  25. connection with your Nextcloud server.
  26. .. figure:: images/icon-information.png
  27. :alt: Status icon, sign "!" in yellow circle
  28. When you see a yellow circle with the sign "!" that is the informational icon,
  29. so you should click it to see what it has to tell you.
  30. .. figure:: images/icon-error.png
  31. :alt: Status icon, red circle and white x
  32. The red circle with the white "x" indicates a configuration error, such as an
  33. incorrect login or server URL.
  34. Systray Icon
  35. ------------
  36. A right-click on the systray icon opens a menu for quick access to multiple
  37. operations.
  38. .. figure:: images/traymenu.png
  39. :alt: the right-click sync client menu
  40. This menu provides the following options:
  41. * Open main dialog
  42. * Paus sync/Resume sync
  43. * Settings
  44. * Exit Nextcloud, logging out and closing the client
  45. A left-click on your systray icon opens the main dialog of the desktop client.
  46. .. figure:: images/main_dialog.png
  47. :alt: Main dialog
  48. The main dialogs show recent activities, errors and server notifications.
  49. When clicking on the main dialog and then clicking on the avatar of the user, the Settings can be opened.
  50. Configuring Nextcloud Account Settings
  51. ^^^^^^^^^^^^^^^^^^^^^^^^^^^^^^^^^^^^^^
  52. .. index:: account settings, user, password, Server URL
  53. .. figure:: images/settingsdialog.png
  54. :alt: Main dialog
  55. At the top of the window are tabs for each configured sync account, and two
  56. others for General and Network settings. On your account tabs you
  57. have the following features:
  58. * Connection status, showing which Nextcloud server you are connected to, and
  59. your Nextcloud username.
  60. * Used and available space on the server.
  61. * Current synchronization status.
  62. * **Add Folder Sync Connection** button.
  63. The little button with three dots (the overflow menu) that sits to the right of
  64. the sync status bar offers additional options:
  65. * Open Folder
  66. * Choose What to Sync (This appears only when your file tree is collapsed, and
  67. expands the file tree)
  68. * Pause Sync / Resume Sync
  69. * Remove folder sync connection
  70. * Availability (Only available if virtual files support is enabled)
  71. * Enable virtual file support/Disable virtual file support
  72. **Open Folder** opens your local Nextcloud sync folder.
  73. **Pause Sync** pauses sync operations without making any changes to your
  74. account. It will continue to update file and folder lists, without
  75. downloading or updating files. To stop all sync activity use **Remove
  76. Folder Sync Connection**.
  77. .. figure:: images/general_settings_folder_context_menu.png
  78. :alt: Extra options for sync operations
  79. .. note:: Nextcloud does not preserve the mtime (modification time) of
  80. directories, though it does update the mtimes on files. See
  81. `Wrong folder date when syncing
  82. <https://github.com/owncloud/core/issues/7009>`_ for discussion of this.
  83. Adding New Accounts
  84. ^^^^^^^^^^^^^^^^^^^
  85. You may configure multiple Nextcloud accounts in your desktop sync client. Simply
  86. click the **Account** > **Add New** button on any account tab to add a new
  87. account, and then follow the account creation wizard. The new account will
  88. appear as a new tab in the settings dialog, where you can adjust its settings at
  89. any time. Use **Account** > **Remove** to delete accounts.
  90. File Manager Overlay Icons
  91. --------------------------
  92. The Nextcloud sync client provides overlay icons, in addition to the normal file
  93. type icons, for your system file manager (Explorer on Windows, Finder on Mac and
  94. Nautilus on Linux) to indicate the sync status of your Nextcloud files.
  95. The overlay icons are similar to the systray icons introduced above. They
  96. behave differently on files and directories according to sync status
  97. and errors.
  98. The overlay icon of an individual file indicates its current sync state. If the
  99. file is in sync with the server version, it displays a green checkmark.
  100. If the file is ignored from syncing, for example because it is on your
  101. exclude list, or because it is a symbolic link, it displays a warning icon.
  102. If there is a sync error, or the file is blacklisted, it displays an
  103. eye-catching red X.
  104. If the file is waiting to be synced, or is currently syncing, the overlay
  105. icon displays a blue cycling icon.
  106. When the client is offline, no icons are shown to reflect that the
  107. folder is currently out of sync and no changes are synced to the server.
  108. The overlay icon of a synced directory indicates the status of the files in the
  109. directory. If there are any sync errors, the directory is marked with a warning
  110. icon.
  111. If a directory includes ignored files that are marked with warning icons
  112. that does not change the status of the parent directories.
  113. Sharing From Your Desktop
  114. -------------------------
  115. The Nextcloud desktop sync client integrates with your file manager. Finder on
  116. macOS and Explorer on Windows. Linux users must install an additional package
  117. depending on the used file manager. Available are e.g. ``nautilus-nextcloud``
  118. (Ubuntu/Debian), ``dolphin-nextcloud`` (Kubuntu), ``nemo-nextcloud`` and
  119. ``caja-nextcloud``. You can create share links, and share with internal
  120. Nextcloud users the same way as in your Nextcloud Web interface.
  121. .. figure:: images/mac-share.png
  122. :alt: Sync client integration in Windows Explorer.
  123. In you file explorer, click on a file and in the context menu go to
  124. **Nextcloud** and then lick on **Share options** to bring up the Share
  125. dialog.
  126. .. figure:: images/share_context_menu.png
  127. :alt: Sharing from Windows Explorer.
  128. From this dialog you can share a file.
  129. .. figure:: images/share_dialog.png
  130. :alt: Share dialog
  131. General Window
  132. --------------
  133. The General window has configuration options such as **Launch on System
  134. Startup**, **Use Monochrome Icons**, and **Show Desktop Notifications**. This
  135. is where you will find the **Edit Ignored Files** button, to launch the ignored
  136. files editor, and **Ask confirmation before downloading
  137. folders larger than [folder size]**.
  138. .. figure:: images/settings_general.png
  139. :alt: General window contains configuration options.
  140. Using the Network Window
  141. ------------------------
  142. .. index:: proxy settings, SOCKS, bandwith, throttling, limiting
  143. The Network settings window enables you to define network proxy settings, and
  144. also to limit download and upload bandwidth.

  147. Using the Ignored Files Editor
  148. ------------------------------
  149. .. index:: ignored files, exclude files, pattern
  150. You might have some local files or directories that you do not want to backup
  151. and store on the server. To identify and exclude these files or directories, you
  152. can use the *Ignored Files Editor* (General tab.)
  153. .. figure:: images/ignored_files_editor.png
  154. For your convenience, the editor is pre-populated with a default list of
  155. typical
  156. ignore patterns. These patterns are contained in a system file (typically
  157. ``sync-exclude.lst``) located in the Nextcloud Client application directory. You
  158. cannot modify these pre-populated patterns directly from the editor. However,
  159. if
  160. necessary, you can hover over any pattern in the list to show the path and
  161. filename associated with that pattern, locate the file, and edit the
  162. ``sync-exclude.lst`` file.
  163. .. note:: Modifying the global exclude definition file might render the client
  164. unusable or result in undesired behavior.
  165. Each line in the editor contains an ignore pattern string. When creating custom
  166. patterns, in addition to being able to use normal characters to define an
  167. ignore pattern, you can use wildcards characters for matching values. As an
  168. example, you can use an asterisk (``*``) to identify an arbitrary number of
  169. characters or a question mark (``?``) to identify a single character.
  170. Patterns that end with a slash character (``/``) are applied to only directory
  171. components of the path being checked.
  172. .. note:: Custom entries are currently not validated for syntactical
  173. correctness by the editor, so you will not see any warnings for bad
  174. syntax. If your synchronization does not work as you expected, check your
  175. syntax.
  176. Each pattern string in the list is preceded by a checkbox. When the check box
  177. contains a check mark, in addition to ignoring the file or directory component
  178. matched by the pattern, any matched files are also deemed "fleeting metadata"
  179. and removed by the client.
  180. In addition to excluding files and directories that use patterns defined in
  181. this list:
  182. - The Nextcloud Client always excludes files containing characters that cannot
  183. be synchronized to other file systems.
  184. - Files are removed that cause individual errors three times during a
  185. synchronization. However, the client provides the option of retrying a
  186. synchronization three additional times on files that produce errors.
  187. For more detailed information see :ref:`ignored-files-label`.
